How to Send a Custom Purchase Order

đź’ˇCustom purchase orders let you create a purchase order with your own line items, rather than pulling them from an existing scope of works or quote. This is useful when you need to send a purchase order for work that isn't already captured elsewhere in the job.


Steps:

  • Navigate to the relevant job and, from the left-hand menu, select Purchase Orders.

  • Select New Purchase Order, then choose Custom from the dropdown.

  • Enter your line item, then select Next.

  • Choose whether you're sending this purchase order to a Subcontractor or Supplier.

  • Choose a PDF template.

  • Select an email template. If you don't want the trade to receive this email, tick the Skip box next to the email template field.


  • Select the recipient of the purchase order.

  • If necessary, enter a start and finish date.

  • If required, enter the total amount for the purchase order and choose whether you'd like this displayed on the document.

  • If needed, add any notes for the trade.

  • Once all the information has been filled out, select Next.

  • The next page gives you a preview of the purchase order. Once you've reviewed this, select Next.

  • This takes you to a compose message screen, showing the email that will be sent to the trade. Here you can edit the message further or add any attachments.

  • If you're happy with the email, select Send.

Your sent purchase order will now appear under the Purchase Orders section for that job.

What's the difference between a custom purchase order and a standard one? A custom purchase order lets you enter your own line item directly, rather than pulling it from an existing scope of works or quote.

Can I send a custom purchase order without notifying the trade by email? Yes, tick the Skip box next to the email template field if you don't want the trade to receive an email.

Can I edit the email before sending it? Yes, on the compose message screen, you can edit the message text or add attachments before selecting Send.
