How to Cancel Purchase Orders
đź’ˇIn Loop Logics, you have the ability to cancel purchase orders even after they've been sent. This can be especially useful if a purchase order was sent by mistake, or if you no longer require the subcontractor to complete the work.
Steps:
Cancelling a purchase order
- Navigate to the relevant purchase order you wish to cancel.
- In the bottom left-hand corner, select Cancel Purchase Order.
- A confirmation box will appear. If you're sure, select Cancel Purchase Order again to confirm.
A green notification will appear in the top right corner confirming that the PO has been successfully cancelled. The purchase order's status updates to Cancelled, and its line item values are shown struck through.
Cancellation emails
đź’ˇWhen your Loop Logics instance is set up, you can choose whether a cancellation email is sent out to the subcontractor automatically, or whether no email is sent. This setting can be adjusted at any time by a member of the Loop Logics team, if you need a change, simply reach out to us.
If automatic cancellation emails are enabled, you can customise the email content:
- Select Admin from the left-hand menu.
- Scroll down and select Notification Templates.
- Scroll down until you find the Purchase Order Cancellation template.
- Make any desired edits to the email content.
- Once you've made your edits, select Save.
FAQ
Can I cancel a purchase order after it's already been sent to the subcontractor? Yes, purchase orders can be cancelled at any time, even after being sent.
Will the subcontractor be notified when I cancel a purchase order? That depends on your Loop instance's settings. You can choose whether a cancellation email is sent automatically, or whether no email is sent, reach out to the Loop Logics team to have this setting changed.
Can I change the wording of the cancellation email? Yes, if automatic cancellation emails are enabled. Go to Admin > Notification Templates > Purchase Order Cancellation to edit the content, then select Save.
