How to Create a Negative Variation Using Multiple Estimates

💡If a job has more than one authorised estimate, you can create a single negative variation that pulls line items from across all of them, rather than creating a separate negative variation for each estimate.


Steps:

Creating a negative variation using multiple estimates


  1. Navigate to the Estimates tab on the relevant job.


  1. Select New Estimate, then choose Negative Variation from the dropdown.

  1. Every authorised estimate on the job is listed. Use the drop-down arrows to expand each estimate and view its contents.

  1. Tick the checkbox on each line item, cost centre, or location you wish to apply the negative variation to, you can select items from more than one estimate at once.

  1. Select Submit Negative Variation.

  1. Proceed to authorise the negative variation the same way you would a regular estimate. lock it, submit it as quoted, then authorise it.



What happens after authorising


Once the negative variation is authorised, each affected estimate is updated to reflect the change:

  • The selected line item will appear with a strike-through on its original estimate.

  • The negative variation is listed as a single entry under Estimates, alongside the original estimates it drew from.

  • The job's authorised total updates to reflect the combined reduction across all the estimates involved.


FAQ

Can I include line items from more than one estimate in the same negative variation? Yes. When you start a negative variation from New Estimate on the job level, all of the job's authorised estimates are listed together, and you can tick items from any of them to include in the one negative variation.

Does each estimate need its own negative variation? No, this is only needed if you want to keep negative variations separate. Otherwise, one negative variation can combine line items from multiple authorised estimates on the same job.

How is this different from creating a negative variation on a single estimate? Creating a negative variation from within a single authorised estimate only lets you select line items from that estimate. Starting from New Estimate at the job level lets you pull line items from every authorised estimate on the job into one negative variation.
