How to Create a Partial Negative Variation

💡A partial negative variation lets you reduce the value of a specific line item on an authorised estimate by a set amount, rather than reversing it in full. It's useful when only part of the scope for a line item is no longer required. Note that a partial negative variation can only be created for an authorised estimate on a job.


Steps:

Creating a partial negative variation


  • Navigate to the estimate you wish to adjust.
  • Select Negative Variation at the bottom of the screen.

  • Select Expand All to find the line item, cost centre, or location you want to apply the partial negative variation to, and tick its checkbox.

  • A red row appears beneath the line item showing its current material and labour values. Edit the amount you wish to remove from the estimate: you can adjust either the rate or the quantity for material and labour, but not both at once.

  • Select Submit Negative Variation in the bottom right corner.


  • Proceed to authorise it, the same way you would authorise a usual estimate: lock it, submit it as quoted, then authorise it.



What happens after authorising


Once authorised, the estimate will reflect the change:


  • The affected line item will show its original values struck through, alongside the new, reduced values.
  • The partial negative variation will be listed separately under Estimates, alongside the original estimate.
  • The job's authorised total will also be updated to reflect the reduction.
  • The estimate containing the partial negative variation displays in orange for easy identification.
  • The adjustment also carries through to any related purchase orders, quote requests, cash settlements, and AR invoices.


FAQ

How is a partial negative variation different from a standard negative variation? A standard negative variation removes a line item's full value. A partial negative variation lets you specify exactly how much of a line item's material or labour value to remove, leaving the rest of the line item in place.

Can I adjust both the quantity and the rate for the same line item? No. For material and labour, only one of quantity or rate can be adjusted per partial negative variation, not both.

Does the original line item disappear from the estimate? No. The line item stays on the original estimate, with its original values shown struck through and its new, reduced values shown alongside them.
