How to send a Document for Digital Signing

đź’ˇLoop Logics lets you send a document out for digital signing directly from a job, so clients and case managers can sign off without printing or scanning anything. You can track exactly when a document has been viewed and signed, and send a reminder if it's still outstanding.


Steps:

Preparing a document to sign


Before you can send a signing request, you need a completed document in the job's Documents area. The most common way to get there is through a form:

  • From the job, select Forms from the left-hand side menu.

  • Select New Form.

  • Choose your form template from the dropdown, enter a reference if required, and select Create.

  • Fill in the form as needed, then select Save.

  • Select Generate PDF. This turns the form into a document, which will now be found under Documents.


Sending the signing request


  • Go to Documents and select New Document.

  • Choose Request Signing.

  • Choose the relevant Email Template.

  • Under Signable Documents, select the document (or documents) you want the recipient to sign. You can also attach supporting documents or invoices to the request if needed.

  • Confirm the Primary Contact and Case Manager are correct.

  • Select Send Request.


Tracking a signing request


  • Go to the project's home screen and select Signing Requests from the left-hand side menu.

  • Here you can track every signing request sent to the customer, including whether it's been viewed and when it's been signed.

  • If a recipient hasn't yet signed the document, select Send Reminder and choose the email address to remind.

đź’ˇWhen a document is sent for signing, an email is sent to both the customer and the case manager with a link asking them to sign. Once all parties have signed, both the customer and the case manager receive an email confirming everyone has signed, and the request updates to show the signed document is available.


FAQ

Can I send more than one document at once? Yes, The signing request lets you select multiple signable documents, along with supporting documents and invoices, in the same request.

What if the client hasn't responded? Go to Signing Requests, find the relevant request, and select Send Reminder. You can choose which email address the reminder goes to.

How do I know when a document has been signed? The Signing Requests screen shows a timestamped record for each step: when the request was sent, when it was viewed, and when it was signed, for both the customer and the case manager. Once both have signed, the request is marked complete and a link to the signed document appears.
