How to Create a Photo Schedule

💡A Photo Schedule is a form that pulls in a job's details and lets you build a photo-led document straight from your Site Photos, useful for giving a client or claims administrator a clear visual record. This article covers creating the form, inserting and laying out photos, and generating the finished PDF.


Steps:

Start a new form


In the relevant job, select Forms from the left-hand side menu, then select New Form. Choose Photo Schedule as the Form Template, enter a reference if required, then select Create.


Insert Job photos


In the form, click where you'd like the photos to appear, then select Insert Job Photo from the toolbar.


Select your photos


You'll be presented with all the enabled images in Site Photos, grouped by uploader and date. Select photos individually, or use the tick box next to a date group to select all photos from that group at once. Once you've made your selection, select Next.


Configure the layout


This takes you to the Configure Layout screen, where you can adjust how the photos will appear:

  • Small / Normal: sets the photo size.
  • Single Column / Double Column: sets how many photos appear per row.


  • Show Descriptions: toggles whether the labels you've previously added in Site Photos appear as captions under each photo. Turn this off if you don't want descriptions to show.

💡Photos can also be reordered by dragging and dropping them into the position you want.

  • Once you're happy with the layout, select Insert Photos.


Finish the Form


This takes you back to the Photo Schedule form with all the selected photos populated. Make any additional edits here, then select Save.


Preview and generate


To see what the Photo Schedule will look like once generated, select Preview, this downloads a document for you to review. When you're ready, select Generate PDF. The form's status updates to generated, and the finished PDF is filed in the job's Documents section.


FAQ

Can I choose which photos appear as captions? Only if you've already added descriptions to those photos in Site Photos, the Show Descriptions toggle pulls in labels that already exist there, it doesn't let you add new ones from within the Photo Schedule.

Can I mix photos from different dates in one Photo Schedule? Yes, the Select Photos screen lets you tick individual photos or whole date groups, and you can select across multiple dates before moving to Configure Layout.

What's the difference between Single Column and Double Column? Single Column shows one photo per row at a larger size; Double Column shows two photos side by side, fitting more onto each page.
