How to Create Workflow Events

đź’ˇCreating a workflow event allows you to automate actions based on specific triggers within a job. When a predefined condition is met, the event can trigger actions such as status changes or notifications, keeping your processes running smoothly and efficiently.


Steps:

Create a new workflow event


  • Go to Admin, then under Jobs select Workflow Events.

  • Click New in the top right corner.

  • Select the Event Action. This is what triggers the event to occur.

  • Choose the Event Outcome. This is what you'd like to happen once the event is triggered by the action above.

  • Depending on the event outcome you choose, enter the additional information required:

  • If you choose Change Job Status, select the status you want the job to change to.

  • If you choose Send Notification, select the notification template and who you'd like the notification to go to.

  • Tick the Active box to use this workflow event.

  • Click Save.



Add the event to your workflow


  • In your workflow, navigate to the relevant status you'd like this event to occur on.

  • In the Events section, select the event you just created.

  • Select Save to apply the changes.

đź’ˇFor example, if an event is set up so that when an appointment is declined the status changes to Awaiting Alternative Appointment, that status change will now happen automatically whenever that action occurs on a job.


FAQ

What's the difference between the Event Action and Event Outcome? The Event Action is the trigger (What needs to happen for the event to fire). The Event Outcome is what you want to happen as a result, such as changing the job status or sending a notification.

What Event Outcome options are available? Change Job Status, Create Reminder, Send Notification, and Set Primary Job User.

Do I need to do anything else after creating the event? Yes, creating the event alone isn't enough. You also need to add it to the relevant status within your workflow for it to take effect.

Can I turn a workflow event off without deleting it? Yes, untick the Active box and save. The event will no longer trigger until it's reactivated.
