How to create Workflow Statuses

💡Workflow statuses are the individual steps a job moves through as part of a workflow. You can create a single status and reuse it across multiple workflows if applicable, making it easy to build consistent, reportable statuses across your business.


Steps:


Create a new workflow status


  • Go to Admin, then under Jobs select Workflow Statuses.

  • Click New in the top right corner.

  • Enter the workflow status Name.

  • Add any additional details in the Description box.

  • If applicable, select a Construction Status. Otherwise, choose None.


Set the status's reporting and milestone options


  • Choose a Core Type. Selecting a core type lets you report on jobs in this status through your analytics. If not relevant, choose Not Applicable.

  • Choose a Milestone Type. This will mark the status as a milestone within the job.

  • If you're working in insurance and your system is connected to ENData, you can select an ENData Action. This will update the status in ENData. This option is only available for those using the insurance instance.


Set who can change the status


  • Under Allowable Roles, specify who can change a status within a job. You can choose All Staff, All Staff + External, or Custom.

  • If you choose Custom, select the specific roles who should be able to move the status


Save the status


  • Once all the information has been entered, select Save. The status is now ready to be used within a workflow.


FAQ

Can the same workflow status be used in more than one workflow? Yes,  a single workflow status can be created once and reused across multiple workflows if applicable.

What does the Core Type field do? It lets you report on jobs sitting in this status through your analytics. Choose Not Applicable if this isn't relevant to the status you're creating.

What is the ENData Action field for? It updates the status in ENData when a job reaches this status. This field only appears for those using the insurance instance.

What's the difference between the Allowable Roles options? All Staff and All Staff + External give broad access to change the status. Custom lets you restrict who can move the status to specific roles only.
