What is a workflow?

Depending on the outcome, it could then move to Awaiting Alternative Appointment (if the appointment is declined) or Appointment Booked. How workflows are built

You can create your own workflow by going to Admin, then under Jobs selecting Workflows.


A workflow can be customised to suit your business needs by incorporating workflow statuses, events, blockers, and KPIs, giving you greater control, automation, and performance tracking. These pieces work together as follows:


Workflow Statuses are the individual steps a project moves through in a workflow (for example, New Quote Request, First Call To Customer, or Job Complete/Invoiced). Workflow statuses must be created before you can build a workflow β€” a workflow cannot exist without them.



Workflow Events let you trigger an automatic status change based on a predefined action. For example, an "Appointment Confirmed" action can automatically change a job's status to Appointment Booked, send a notification, or set a primary job user.



Workflow Blockers prevent a project from moving forward until certain conditions are met (for example, Awaiting Information or Awaiting Customer Excess).



Workflow KPIs measure things like how long a job stays in a specific status, for example, tracking the time between New Quote Request and Job Complete/Invoiced.


Workflow events, blockers, and KPIs can all be added to a workflow after it's created, but a workflow itself cannot be created without its workflow statuses in place first.

Where do I create or manage workflows? Go to Admin, then under Jobs select Workflows. The related Workflow Statuses, Workflow Events, Workflow Blockers, and Workflow Kpis sections sit alongside it in the same Jobs menu.

Do I need anything in place before I can create a workflow? Yes,  workflow statuses must be created first. A workflow can't exist without them, though events, blockers, and KPIs can be added later.

Are workflow events, blockers, and KPIs required? No, they're optional. You can use them if they're relevant to how your business wants to control, automate, or track performance across a workflow β€” a workflow will still function with just its statuses.
