How to add a Subcontractor
đź’ˇSubcontractors go through an onboarding step in Loop before they become a full subcontractor record. This lets you capture their details and financial information up front, and later use them on jobs once they've been onboarded. A subcontractor's record can be edited at any time after it's created.
Steps:
Open Onboardings
- Go to Admin, then under Contacts select On Boardings.
- When you first enter a subcontractor into Loop, you add them under Onboardings. Once they're onboarded, or in the process of being onboarded, they'll be added under Sub Contractors.
Start a new subcontractor
- Select NEW in the top right.
- Enter the subcontractor's Name, Company Name, and Primary Contact Name.
- Tick Franchised if this subcontractor is a franchise.
- Make sure Active is ticked if you're going to be using this subcontractor in Loop. If this box is unticked, the subcontractor will be inactive and won't display as an option to be used in Loop.
Enter contact and address details
- Enter the subcontractor's contact details — Preferred #, Mobile, Home, Work, Email, and Website.
- Enter their Address.
Add financial details
- Under Financial Details, add any relevant Hourly Rate, After Hours Rate, and Open Purchase Order information.
- Tick any relevant boxes: Sole Trader, Registered For Gst, and Recipient Created Tax Invoicing.
- Add any additional Notes if required.
Save
- Once completed, select Save.
- This subcontractor will now display in the list of subcontractors under Onboardings, along with a Send On-Boarding Request option. You can go in at any time to add or update financial information.
FAQ
What's the difference between Onboardings and Sub Contractors? A subcontractor starts in Onboardings when you first add them. Once they're onboarded, or in the process of being onboarded, they'll also appear under Sub Contractors.
What happens if I leave a subcontractor unticked as Active? The subcontractor will be inactive and won't display as an option to be used in Loop. Untick Active for subcontractors you're no longer working with, rather than deleting their record.
Do I need to fill in the Financial Details when I first add a subcontractor? No, you can go in at any time after saving to add or update their hourly rate, GST registration, or other financial information.
What does Sole Trader affect? It's one of the checkboxes under Financial Details you can tick to reflect that subcontractor's business structure.
Where do I find a subcontractor once they've been added? Under Admin, in the Contacts section, they'll appear in the Onboardings list, and also under Sub Contractors once onboarded.
