How to add a Client
đź’ˇAdding a client in Loop Logics sets up their record so you can add them to projects, invoice them, and apply the right financial settings such as margins and progress payment splits for the work you do with them. You can add a client as a company or as an individual, and their record can be edited at any time after it's created.
Steps:
Open the Clients Page:
- Go to Admin, then under Contacts select Clients.
- Select NEW in the upper right corner.
Enter the client's details
- If the client is a person rather than a company, tick Individual, this changes the name fields to Title, First Name, and Last Name.
- Otherwise, enter the Name, Company Name, and Primary Contact Name.
- Make sure Active is ticked if you'll be actively using this client in Loop. If it's unticked, the client becomes inactive and won't show up as an option to add to projects.
Enter contact and address details
- Choose a Preferred # and enter the client's Mobile, Home, and/or Work numbers, along with their Email.
- Add their Website if required.
- Enter their Address Loop will show it on a map so you can confirm it's correct.
Add financial details
- Under Financial Details, set any relevant margins (General Material, General Labour, Prelim Material, Prelim Labour, Insurance) and progress payment splits (First, Second, Third) for this client.
- Set a Cents/km rate if one applies.
- Tick any of the relevant checkboxes for this client — Registered For Gst, Include Line Items on AR Invoice, Include Rate Code in Line Items, and Include Qty and Rate in Line Items.
- Add any Notes if required.
Save
- Once everything is completed, select Save.
- The client will now appear in the Clients list under Admin > Contacts. You can open the client at any time to edit their information.
FAQ
What's the difference between adding a client as a company versus an individual? Ticking Individual swaps the Name and Company Name fields for Title, First Name, and Last Name (use it when the client is a person rather than a business.)
What happens if I leave a client unticked as Active? The client becomes inactive and won't appear as an option when adding them to a project. Untick Active for clients you're no longer actively working with, rather than deleting their record.
Can I go back and edit a client's details later? Yes, open the client from the Clients list at any time to update any of their information, including contact details, address, and financial settings.
Do I need to fill in every field under Financial Details? No, only fill in the margins, progress payments, and checkboxes that are relevant to how you work with that particular client.
Where do I find a client once they've been added? Under Admin, in the Contacts section, select Clients. The new client will appear in the list along with their primary contact, email, and preferred contact number.
