Analytics - KPI Management Dashboard

💡The KPI Management dashboard measures the KPIs you set up on your workflows. KPIs can be contractual with your clients, or internal so you can measure the time between statuses. Use the dashboard to see averages and trends, review the job-level data behind them, and share results as a CSV, Excel file or PDF.


Steps:

Step 1: Open the KPI Management dashboard


Open Analytics and select KPI Management from the left-hand menu.



Step 2: Choose a KPI


In the top left, the KPI filter lists the KPIs you've created, for example Desktop Quote Submission, Initial Contact, Makesafe Life, New Booking, Quoted Life and Site Attended. Tick the KPI you want to view.



Step 3: Select all KPIs to compare them


Tick Select all to pull every KPI into the dashboard. The chart shows each KPI and its average business days, so you can compare them side by side. The tiles show the Average Business Days, Min Business Days and Max Business Days across all of them.



Step 4: Select a single KPI


Clear Select all and tick one KPI, such as Initial Contact, to focus on it.


Step 5: Read the trend


The Average of Business Days by KPIs Date chart shows the trend for that KPI. Hover over the line to see the figure for each month. In this example, the time frame rose in March, then came back down and stabalised over the last four months.


Step 6: View a single month


The KPI Date filter defaults to Last 12 months, which lets you view each month across a trending timeline. To see one month, open KPI Date, keep Relative date selected and choose This month. The chart, the average, minimum and maximum business days and the table now show that month only.


Step 7: Change the date range


Open KPI Date again to change the range. Switch Relative by to Years and choose This year, or use options such as Previous month, Month to date, Last number of months or Absolute date range.


Step 8: Review the data table


The table below the tiles shows the data behind the results above. This is helpful when you're sharing information with clients or your team. You can see which people were involved in each job's performance.


Step 9: Scroll across to see Business Days


Scroll along the bottom of the table to see more columns, including Status, Blockers, Business Days and Target.


Step 10: Export the table to CSV or Excel


Select the three-dot menu at the top right of the table and choose Export to CSV or Export to Excel.


Step 11: Generate a PDF


To share the whole dashboard, select the button in the top right-hand corner of the dashboard. The menu offers Print, Generate PDF and View exports. Choose Generate PDF and a "Working on your PDF file" message appears while it's prepared. You can then send it to your clients or team.


Step 12: Find your workflow KPIs in Admin


To see which KPIs are already set up, open the settings (gear) icon, then under WORKFLOWS select Workflow KPIs. The list shows each KPI's name, workflow, from status, to status and whether it's enabled.


Step 13: Create a new KPI


In Admin, select NEW at the top right of the list. On New Workflow KPI, complete the Name, Description, Workflow, Instructing Client and Timeframe Type, set the Start Date and End Date, tick Active and select SAVE.


FAQ

Can I filter by client or by person? Yes, use Instructing Client for client-specific KPIs, and Case Manager, Estimator or Project Manager to look at one person's performance. You can also filter by Division and Job Type.

Why is the chart showing a single dot? You've likely filtered KPI Date to one period, such as This month. Change it back to Last 12 months to see the trend.

Where do KPIs come from? They're created on your workflows. Go to the settings icon, then Workflow KPIs.

Can I send this to a client? Yes, export the table to CSV or Excel, or use Generate PDF on the dashboard.
