Analytics - Finance Dashboard

๐Ÿ’กThe Finance dashboard is where you'll find your financial information in one place. It shows the totals of your accounts receivable (AR) invoices, accounts payable (AP) invoices and expenses, plus the type of AR invoices submitted, with invoice-level tables underneath so you can see what you're sending to clients and what's coming in. Use it to examine your cash flow.


Steps:

Open the Finance dashboard


  • Go to Analytics and select Finance from the dashboard list on the left.
  • The charts sit across the top, the filters above them, and the invoice tables underneath.


Review the charts


  • Total AR shows your total accounts receivable invoices by client (showing top 20 in Invoice To).
  • AR Invoice Type shows the type of AR invoices submitted (for example, Simple, Final and Progress).
  • Total AP shows your total accounts payable invoices, and Total Expenses shows your total expenses. Both show the top 20 in Invoice To.
  • Smaller amounts are grouped under Other.


Review the invoice tables


  • Scroll down to the tables. Total AR lists accounts receivable invoices, the invoices you send to clients.
  • Total AP and Expenses lists invoices from your subcontractors and suppliers.
  • Both are listed at invoice level, so you can see each invoice's job number, job type, Invoice To, invoice number, Invoice Status, Client, Division and Issued On date.


Filter the dashboard


  • Use the filters across the top to change the information shown: Client, Division, Invoice Status, Job Type, Invoice To and Issued On.
  • To find a particular subcontractor, open the Invoice To filter and select them from the list (or type in Search value).

  • To find a particular client, open the Client filter and select them.

  • Use Issued On to set the date range, then review the outstanding invoices.


Export the data


  • Select the three-dot menu at the top right of a table.
  • Choose Export to CSV or Export to Excel. You can use the file in your own Power BI or pivot table.


Use the table scroll bars


  • Each table has a scroll bar at the bottom. Scroll right to see more columns, such as Due On, Case Manager, AR Invoice Type, Total inc GST and Total ex GST.

Open an invoice on its project


  • Select the Link icon at the start of a row.
  • The project opens in a new browser tab, on its AR Invoices tab.

Review the project's AR Invoices


  • The project's AR Invoices tab lists all of the project's invoices, with the invoice number, jobs, who it was issued to, status and invoice type.


Open an invoice


  • Select an invoice to see its details: the status, line items, Sub Total, GST and Invoice Total, plus the status history.


Download the invoice or open it in Xero


  • Under Documents, select the cloud icon to download a copy of the invoice.

  • If the invoice is connected to Xero, select open in Xero (under the Authorised status) to open it directly in Xero.


Return to the dashboard


  • Go back to your Analytics tab to carry on working with the dashboard. It gives you access to all the data for your invoices to clients and invoices from subcontractors.


FAQ

What's on the Finance dashboard? Total AR, AR Invoice Type, Total AP and Total Expenses charts, plus a Total AR table and a Total AP and Expenses table.

How do I find a particular subcontractor or client? Use the Invoice To or Client filter at the top of the dashboard.

How do I change the date range? Use the Issued On filter.

Can I export the data? Yes. Use the three-dot menu on a table and choose Export to CSV or Export to Excel.

How do I see more columns? Use the scroll bar at the bottom of each table.

How do I open an invoice in Xero? Open the invoice from its project using the Link icon, then select open in Xero. This works if the invoice has been connected to Xero.
