Analytics - Accounts Receivable Invoices Dashboard
๐กThe Accounts Receivable (AR) Invoices dashboard shows every invoice you've created in Loop Logics and sent to your clients, in one place. Use it to check what's been paid, see whether each invoice has synced to Xero, jump straight to an invoice on its project, download a copy, export the data, and filter down to the invoices you need to reconcile.
Steps:
Open the AR Invoices dashboard
- Go to Analytics and select AR Invoices from the dashboard list on the left.
- At the top you'll see the filters, then the Total AR (inc GST) chart, then the AR Invoices table.

Review the Total AR chart
- The Total AR (inc GST) donut chart shows your total accounts receivable in the centre (for example, $8.11M).
- The chart is labelled Showing top 20 in Issued To, so each segment is a client (for example, IAG, CGU Insurance, Ausure). Smaller clients are grouped under Other.

Review the AR Invoices table
- Each row is one invoice. The first columns show Link, Project, Amount Due, Amount Paid, Invoice Status, Invoice Number and Issued To.
- Use Amount Due, Amount Paid and Invoice Status together to see whether an invoice has been paid yet.

Scroll right for more invoice details
- Scroll the table to the right to see Xero Sync, Issued On, Due On, Division, State, Invoice Type and Total inc GST.
- Xero Sync shows Yes if the invoice has synced to your financial package and No if it hasn't.

Open an invoice on its project
- Select the Link icon at the start of a row.
- The invoice opens in a new browser tab, on that project's AR Invoices tab.

Check the sync status on the project
- On the project's AR Invoices tab, a purple sync icon next to an invoice's status means it has synced to Xero. Hover over it to see "The invoice has been synchronised to Xero".
- If there's no purple icon, the invoice hasn't synced yet.

Open the invoice details
- Select the invoice number (for example, 1010-5) to see the full invoice.
- Check the Authorised status at the top of the invoice.

Review the invoice total and status history
- Scroll down to see the line items and the invoice totals (Sub Total, GST and Invoice Total).
- Below the totals, the status history lists each status (for example, Authorised and Submitted) with who created it.

Download a copy of the invoice
- Under Documents, select the cloud icon next to the invoice PDF to download a copy.

Export the dashboard data
- Back on the dashboard, select the three-dot menu (Menu options) at the top right of the AR Invoices table.
- Choose Export to CSV or Export to Excel.

Narrow down with filters
- Use the filters across the top to refine the table and chart: Xero Sync, Invoice Status, Issued To, Workflow, State, Division, Issued On Between and Invoice Type.
- For example, set Xero Sync to No to find invoices that still need to be pushed through to Xero.

FAQ
How do I know if an invoice has synced to Xero? On the dashboard, check the Xero Sync column (Yes or No). On the project's AR Invoices tab, look for the purple sync icon next to the status.
What does "Showing top 20 in Issued To" mean? The chart shows your 20 largest clients by AR total. Everything else is grouped under Other.
Can I export the data? Yes. Use the three-dot Menu options on the AR Invoices table and choose Export to CSV or Export to Excel.
Where do I download the invoice PDF? Open the invoice from its project, scroll to Documents, and select the cloud icon.
Can I change the date range? Yes, Use the Issued On Between filter.
