Module 8: Project Coordinator - Upload Documents
π‘This article covers how to upload a document to a job and file it under the right category, so it's easy to find again later in the Documents tab.
Step 1: Open the Job Module
Click the job module you want to upload a document to (for example, Roof Report RP02).
Details:
- A job can have several modules open at once, shown as tabs along the top
- Each module has its own Documents tab, separate from the others

Step 2: Open the Documents Section
In the module's left-hand menu, click Documents.
Details:
- Sits among the module's other sections, alongside Site Photos, Site Forms, Estimates, and Forms
- Lists any documents already uploaded, grouped by category

Step 3: Start a New Document
Click New Document.
Details:
- Opens a dropdown with options including Upload
- Other categories already on this job (Reports, Scope of Works) are listed below the New Document button as existing groups

Step 4: Choose Upload
Click Upload from the dropdown.
Details:
- Opens the file selection screen, starting with a Category field
- A placeholder prompts "Please select document category" until one is chosen

Step 5: Select a Category
Click the Category field, then choose the category that best matches the document β in this example, Quote Request.
Details:
- Other categories available include Authority to Proceed, Client Correspondence, Client Instructions, Consultant Quotes, Contracts, Customer Correspondence, External Reports, Finance, Imported from Prime, Insurance, Invoices, Job Letters, Makesafe Reports, Photo Schedules, Prestart Documents, Purchase Orders, Reports, Safety Documents, and Scope of Works
- Choosing the right category up front is what determines where the document appears afterward

Step 6: Select the Document to Upload
Click "Drag 'n' drop documents here, or click to select documents" and choose the file from your device.
Details:
- The selected category is shown just above the drop zone, confirming where the file will be filed
- Multiple files can typically be selected at once from the file picker

Step 7: Confirm the Document Is Saved
Check the Documents tab for the new category group β in this recording, Quote Request now appears as its own group alongside Reports and Scope of Works.
Details:
- The document is saved under the category selected in Step 5, not just added to one flat list
- Clicking the category group expands it to show the document(s) filed there

Summary
Key Upload Documents Steps:
Starting the Upload:
- Open the job module, then click Documents in the left-hand menu
- Click New Document, then Upload
Filing It Correctly:
- Select a Category before choosing the file β this determines where it's filed
- Select the document from your device via the drag-and-drop area
Key Points to Remember:
- Documents are organised by category (Reports, Scope of Works, Quote Request, and so on), not a single flat list
- The category has to be set before uploading β it can't be added afterward from this same flow
- Each job module has its own separate Documents tab
π Recap
- You've learned how to open a job's Documents tab and start a new document upload.
- You've selected the right category for the document before uploading it.
- You've confirmed the document is now filed under that category.
π ββοΈ Common mistakes to avoid: uploading a document without first selecting its category, which makes it harder to find again later.
π What good looks like: taking a moment to pick the most accurate category (for example, Quote Request rather than a generic one) so documents stay organised as the job grows.
