Module 7: Project Coordinator - Create a New Project

πŸ’‘This article covers how to create a brand-new project in Loop from scratch entering the client, project details, workflow, customer, and site information needed to get a project up and running.


Step 1: Start a New Project

Click the + symbol and select the project type β€” in this example, Residential Project.


Details:

  • Other project types available include Commercial Project and Private Works
  • Opens the New Project form, starting with Client / Insurer / ELA details



Step 2: Select the Instructing Client

Click Instructing Client* and choose the relevant insurer or client.


Details:

  • A required field β€” options in this list include AAMI, Allianz Insurance Ltd, Auto & General, CGU Insurance, Crawford & Company, IAG, McLarens, QBE Insurance (Australia) Limited, and RACQ Insurance Ltd
  • Sits under the "Client / Insurer / ELA" heading alongside External Loss Adjuster, Reference, Additional Reference, and Brand



Step 3: Add the Reference and Additional Reference


Click Reference* and enter the claim reference number, then click Additional Reference for any secondary reference.


Details:

  • Reference is a required field; Additional Reference is optional
  • External Loss Adjuster can also be set here if one is involved (for example, Crawford & Company)


Step 4: Set the Brand

Click the Brand dropdown and select the relevant brand for this project.

Details:

  • Sits at the bottom of the Client / Insurer / ELA section
  • Useful for organisations managing multiple brands under one Loop account



Step 5: Set the Division and Region

Click the Division* dropdown to select the state, then choose Metro, Regional, or Rural.


Details:

  • A required field β€” in this recording, NSW was selected with Rural chosen as the region
  • Sits under the "Details" heading, above Specific Client, Peril, and Catastrophe



Step 6: Set the Peril and Catastrophe


Click the Peril dropdown and select the relevant peril, then set Catastrophe if applicable.


Details:

  • Peril options in this recording included Earthquake, Escape of Liquid, Fire, Flood, Glass, Hailstorm Damage, Storm, Theft, and None
  • Catastrophe links the project to a declared catastrophe event, where relevant



Step 7: Set the Excess and Loss Date


Click Excess to set the amount, then click the Loss Date field to select the date.


Details:

  • A Collect Excess checkbox sits just below the Excess field, ticked by default
  • Loss Date is a required field β€” click the calendar icon to pick the date rather than typing it



Step 8: Add Client Instructions and Critical Information


Click Client Instructions to add any client-specific notes, then click Critical Information for essential details about the project.


Details:

  • Both are free-text fields for context that isn't captured elsewhere in the form
  • Critical Information is the kind of detail (access issues, safety concerns, vulnerable customer notes) that should be visible to anyone opening the project



Step 9: Set the Default Job's Workflow and Description


Click the Workflow Name* dropdown and select a workflow (for example, Assessment & Repair or Makesafe), then click Description* and enter a short description.

  • Both are required fields β€” in this recording, leaving them incomplete produced "Required" and "String must contain at least 1 character(s)" validation messages further down the form
  • Job Reference is available here too, separate from the project-level Reference entered in Step 3



Step 10: Assign Case Manager, Estimator, and Project Manager


Click Case Manager*, Estimator, and Project Manager in turn and select who's responsible for the job.


Details:

  • Case Manager is required; Estimator and Project Manager are optional but recommended
  • All three use the same searchable list of names.


Step 11: Add the Customer's Details


Under Customer(s), click Title, First Name, and Last Name to enter the customer's details.


Details:

  • Title options include Dr, Miss, Mr, Mrs, Ms, and Prof
  • First Name and Last Name are required fields



Step 12: Add Contact Details


Click Mobile # to enter the customer's phone number, then click Email and Notes as needed.


Details:

  • The Preferred # dropdown lets you choose whether Mobile, Home, or Work is the primary contact number
  • Mobile # is a required field in this recording

Step 13: Add the Customer's Address


Click Address and enter the customer's address, and leave "Use this as the postal address" ticked if it applies.


Details:


  • A dedicated ADD CUSTOMER button below lets you add a second customer to the project if needed
  • The address field uses an autocomplete lookup β€” see the note on Step 15 below about what happens if an address isn't selected from the suggestions



Step 14: Add a Site Contact

Under Site Contacts, click Add Site Contact if the person on-site is different from the customer.

Details:

  • Useful when the customer isn't the one who'll be present for appointments (for example, a tenant or site manager)
  • Opens the same set of contact fields as the customer section



Step 15: Set the Site Address and Reporting Options


Click Address under Site Address, then tick any relevant Reporting Options (Escape Of Liquid, Flood Claim).


Details:

  • Override Address lets the site address differ from the customer's address when needed
  • In this recording, typing into the Site Address field without selecting a result from the autocomplete dropdown left the field showing an "Expected object, received null" error β€” the address needs to be chosen from the suggested list, not just typed and left as free text


Step 16: Save the Project


Once every required field is complete, click Save.


Details:

  • Any required field left empty or any address not selected from its autocomplete will block the save with a validation message
  • Once saved, the project opens with its Default Job already created and ready to work from

Why does Save give me an "Expected object, received null" error? This usually means an address field was typed into but never had a suggestion selected from its autocomplete dropdown. Re-enter the address and choose one of the suggested results.

Do I need to assign an Estimator and Project Manager when creating the project? No β€” only Case Manager is required at this stage. Estimator and Project Manager can be set later if needed.

Can I add more than one customer or site contact? Yes β€” use Add Customer under the Customer(s) section, or Add Site Contact under Site Contacts.
