Module 5: Project Coordinator - Communication Management

đź’ˇThis article covers how to find and review a job's email and SMS communications in Loop Logics both through the notifications bell and through the project's Communications tab,  so every conversation about a job stays in one place.

Step 1: Open Notifications

Click the notifications bell icon in the top-right corner.

Details:

  • A badge on the bell shows how many unread notifications are waiting
  • Notifications cover communication across Emails, SMS, and comments on a job

Step 2: Review Email Notifications

Click Emails in the notifications panel to view the customer's email communications.

Details:

  • The panel also has SMS, Actionables, and Tasks tabs alongside Emails
  • Opens a list of recent email activity across your jobs

Step 3: Review SMS Notifications

Click SMS in the same notifications panel to view the customer's SMS communications.

Details:

  • Switching tabs here doesn't leave the panel. Emails, SMS, Actionables, and Tasks are all one click apart
  • Useful for a quick check across jobs before diving into one in particular

Step 4: Go to the Project

Click Project to open the full project for the job you want to review.

Details:

  • Takes you out of the notifications panel and into the project's own Details page
  • From the project's left-hand menu you can then reach Communications, along with AR Invoices, Cash Settlements, Credit Notes, Documents, Signing Requests, Temp Accom, and Audit Trail

Step 5: Open the Communications Tab

In the project's left-hand menu, click Communications.

Details:

  • Sits near the top of the menu, alongside Details, AR Invoices, and Cash Settlements
  • Lists every communication record tied to the project, regardless of which channel it came through

Step 6: Review Communication Details

Click Details on a communication to review its full content.

Details:

  • Opens the complete email thread, showing sender, recipient, subject line, and body
  • In this recording, a customer's email ("I'd like to request an update on repairs at our property. My husband and I are going overseas in two weeks...") and the team's reply are both visible in the same thread

Summary

Key Communication Management Steps:

Checking Notifications:

  • Click the bell icon to see new communication activity
  • Switch between Emails and SMS tabs within the same panel

Reviewing a Job's Full History:

  • Click Project to open the job, then Communications in the left-hand menu
  • Click Details on any entry to read the full email or SMS thread

Key Points to Remember:

  • Any email or SMS sent from Loop can be received and responded to within Loop, so communication doesn't need to happen on a separate platform
  • The notifications bell gives a quick cross-job view; the project's Communications tab gives the full history for one job
  • Clicking Details on a communication shows the complete thread, not just a preview

👇Recap

  • You've learned how to check new communication activity using the notifications bell.
  • You've opened a job's Communications tab to see its full history.
  • You've reviewed a full email thread by clicking Details on a specific communication.

🙅‍♂️ Common mistakes to avoid: only checking the notifications bell and missing older communications that are sitting in the project's own Communications tab.

🏆 What good looks like: reviewing the full Communications tab on a job before replying to a customer, so your response accounts for the entire conversation history, not just the latest message.
