How to View and Submit Job Notes

📲This article covers how to open a job's Notes in the Loop Logics mobile app, add a new note, use a note template, and comment on an existing note to loop in a teammate. Notes keep a running record of what's happened on a job that the whole team can see and add to.


Step 1: Open Notes for the Job

From the job page, tap the clipboard icon in the top toolbar to open Notes.

Details:

  • Sits alongside the Site Photos camera icon and SMS Messages icon in the job's toolbar
  • Lists every note logged on the job, newest first by default, each showing the author, when it was posted, and whether it has comments
  • A Search Notes field and Sort option are available at the top of the list

Step 2: Start a New Note

Tap the + button to open New note, then type in the Write a note... field.

Details:

  • Notes have a 2,000 character limit, shown as a running count (for example, "16/2000")
  • Two icons at the bottom of the New note screen offer additional options — one appears to attach a file, the other to browse a folder of existing items — though neither was used in this recording, so their exact behaviour isn't confirmed here
  • Tap the paper plane icon (top-right) to post the note once you're done

Step 3: Use a Note Template (Optional)

Tap the folder icon in New note to browse ready-made note templates.

Details:

  • Templates seen in this recording include Customer Update, Client Portal Updated, Supervisor Update, Courtesy Call, First Call to Customer, Customer Satisfaction Call, Inspection complete, Documents received, and Follow Up Tender Leads
  • Tapping a template loads its wording into the note, ready to edit before posting
  • You can also skip templates entirely and type a note from scratch, as shown later in this recording

Step 4: Post the Note

Once your note is ready, tap the paper plane icon to post it.

Details:

  • The note briefly shows a "Queued to send" status before settling in as posted
  • Posted notes appear at the top of the Notes list with your name and "now" as the timestamp

Step 5: Comment on a Note

Tap an existing note to open it, then use the comment field at the bottom to reply.

Details:

  • Tap @ or start typing @ in the comment field to bring up a list of teammates to tag
  • Selecting a teammate inserts their name as a tagged mention (for example, "@Name")
  • Type your comment after the mention, then tap Post
  • Posted comments appear below the note, labelled "X comment(s) - Oldest first"

Step 6: Resume a Draft Note

Look for the Draft label on any unfinished note in the Notes list, and tap it to pick up where you left off.

Details:

  • A draft note shows a purple Draft badge and "Tap to continue" instead of a posted timestamp
  • Tapping it reopens the New note screen with your unfinished text still there
  • A red trash icon lets you delete a draft you no longer need

Is there a limit to how long a note can be? Yes, notes have a 2,000 character limit.

How do I make sure a specific teammate sees a note? Open the note and add a comment, typing @ to bring up a list of teammates and tag the person you want to notify.

What happens if I start a note but don't post it? It's saved as a Draft in the Notes list, marked "Tap to continue"  tap it any time to pick up where you left off, or use the trash icon to delete it.
