How to Create and Submit a Site Form

📲This article covers how to start a site form from a job in the Loop Logics mobile app, fill it in, share it with someone else to complete, and submit it once it's done. Completing forms on site as you go means the details are captured accurately, without relying on memory back at the office.


Step 1: Open Site Forms for the Job

From the job page, tap Site Forms in the totals row at the top.


Details:

  • Site Forms sits alongside Site Photos and Notes at the top of the job page
  • Opens onto three tabs: New Form, Drafts, and Completed

Step 2: Choose a Form Template


Under New Form, tap a template to start filling it in.


Details:

  • The template list is scrollable, with further templates below what's shown here
  • Tapping a template opens it straight away, ready to fill in

Step 3: Fill In the Form Sections

Work through each numbered section. For example, Inspection Details, Make Safe Scope Complete, Access & Safety, Comments, and Photo Schedule  filling in the fields as you go.

Details:

  • Each section shows how many fields are answered, like "4/6", and a status of "In Progress"
  • Date fields include Today, Tomorrow, and Yesterday shortcuts, plus a Clear date option
  • A Photo Schedule section lets you tap + Add photos to attach site photos directly to the form.

Step 4: Find an In-Progress Form Again


Open Site Forms and tap the Drafts tab to find a form you've started but not finished.

Details:

  • Each draft shows its template name, a progress bar, and how many fields are answered for example, "4 of 13 answered · 31%"
  • Tapping a draft reopens it exactly where you left off

Step 5: Share, Submit, or Manage the Form

Tap the ••• menu at the top of an open form to Submit it, Share it with someone else, view Form Details, or Delete it.


Details:

  • Share opens a Share Link screen where you set a title, select a recipient, and set an expiry date, then tap Create to generate a link you can copy or send, useful if someone else, like a subcontractor, needs to complete part of the form
  • Submit asks you to confirm you want to complete the form before locking it in
  • Save and Close and Discard Changes were greyed out in this recording, most likely because there was nothing new to save or discard at that point, though this is worth confirming


Step 6: Confirm and Complete

Tap Complete Form in the confirmation pop-up to finish submitting the form.


Details:

  • The pop-up reads "Please confirm you want to Complete Form?" with Complete Form and Cancel options
  • Once completed, the form moves to the Completed tab, shown with a lock icon and the date it was completed

FAQ


Can I finish a site form later if I don't have time to complete it all at once? Yes, your progress saves automatically, and you can find it again under the Drafts tab, showing how much of the form is answered.

How do I get someone else, like a subcontractor, to complete part of a form? Open the form, tap the ••• menu, and choose Share. Set a recipient and expiry date, then tap Create to generate a link you can send them.
