Module 4: Admin Scheduler - Upload and Manage Site Photos Guide

💡This article covers how to upload images, label images, and generate photo schedule PDFs for your job documentation and client reports. Keeping site photos organised and clearly labelled directly in Loop means the whole team and the client, when a report goes out, can see exactly what was found on site, without chasing photos from separate devices or emails.


Step 1 - Select your Job Module

Click the Job Module to open the project details.

  • Navigate to the specific job module you want to add site photos
  • Displays project information, contact details, and all related modules
  • Prepares the system for photo uploads


Step 2 - Click Site Photos

Click "Site Photos" in the side bar to begin adding images to your job.

  • Open the Site Photos section for the selected job
  • Displays all previously uploaded photos
  • Shows photo management options and upload interface
  • Lists photos by date uploaded.


Step 3 - Select Photos Upload Area

Click "Drag 'n' drop" photos, or click to choose images from your device.

Upload Methods include:

🤚Drag and Drop: Drag photos files directly into the upload area.

⬆️ Click to Select: Click to open file browser and select photos

Supported Formats:

  • JPG/JPEG
  • PNG
  • Other standard image formats

Details:

  • Multiple photos can be uploaded at once
  • Photos appear in the gallery once uploaded
  • Uploaded photos are listed in the Site Photos section


Step 4 - Enable Individual Images

To label individual photos, click on the images to select it and enable it for labeling or editing.

Details:

  • Clicking on an image displays it in colour 
  • Shows individual photo selection interface
  • Allows you to label or edit specific photos
  • Greyed out images are disabled until you enable them

Step 6 - Label Images

Click "the image" to choose a particular image for labeling or editing

Details:

  • Opens the image labeling interface 
  • Allow you to add descriptive names to photos
  • Displays the selected image with editing options
  • Shows available photos to label 


Step 8 - Confirm Image Labeling

Click "here" to confirm the label you entered for the images. Press "save" to finalise.

Details:

  • Confirms the label has been applied 
  • Saves the image label in the system
  • Updates the image metadata
  • The labeled image is ready for use in reports


Step 9 - Create PDF Photo Schedule

Click "Forms" to access the forms management area within the job.

Details:

  • Open the Form section where you can create photo schedules
  • Displays available form templates and options
  • Allows you to build forms with images


Step 10 - Create New Form

Click "New Form" to start building a new form for your job.

Details:

  • Open the Form creation interface
  • Shows template options and customization settings 
  • Allows you to create custom forms.


Step 11 - Open Form Options

Click "form template" to select a template for your form

Details:

  • Displays available form templates 
  • Allows you to choose a pre-designed template
  • Templates can be customised for your needs


Step 12 - Select Photo Schedule

Click "Photo Schedule" to create a PDF photo schedule.

Details:

  • Select the Photo Schedule template
  • Opens options for configuring the schedule
  • Displays available photo schedule formats 

Available Options:

  • Electrical Report 
  • Roof Report
  • QBCC Level 2 Contract
  • Photo Schedule


Step 13 - Add Images

Click in the content area to position where you want photos inserted in the document.

Details:

  • Click the position where you'd like photos to appear
  • Allows you to customise photo placement
  • Multiple photos can be added to different sections.


Step 14 - Add Images to the Form

Click the "plus" button to open the menu for additional options.

Details:

  • Opens additional menu options for form customisation
  • Allows you to insert images and other content
  • Provides formatting and layout options.


Step 15 - Click Photo Tab

Click to open the link to site photos saved on this job.

Details:

  • Displays all available photos from the Site Photos section
  • Shows labeled and enabled photos
  • Allows you to select which photos to include
  • Photos can be previewed before insertion


Step 16 - Select Images

Click to select the images to show on your form

Details:

  • Click on photos to select them for the schedule
  • Selected photos are highlighted
  • Multiple photos can be selected for the schedule
  • Click "Next" to proceed


Step 17 - Select Images

Click to select the images to show on your form

  • Click on photos to select them for the schedule

Step 18 - Select Size

Click "normal or small" to set the size of the images displayed.

Size Options

  • Normal: Standard photo size
  • Small: Reduced photo size
  • Single Columns: can be selected for the schedule
  • Double Column: 
  • Show Descriptions:

  • Size selection affects how photos appear in the PDF

Step 18 - Select Column Layout

Click "single or double columns" to select the preferred layout.

Column Options:

  • Single Column
  • Double Column

Additional Options:

  • Include photo description/labels
  • Choose

Step 19 - Insert Photos into Form

Click "insert photos" to add the selected images to the current form or section.

Details:

  • Adds the selected photos to the form layout
  • Photo are arranged according to your layout choices
  • Images appear in the form preview
  • You can continue adding more photos to different sections


Step 20 - Save Configuration Changes

Click "save" to save all your configuration changes for the form.

Details:

  • Saves the form layout and photo selections 
  • All changes are applied to the form
  • The form is now ready for preview or PDF generation


Step 21 - Preview Form

Click "preview" to review the form before finalising.

Details:

  • Shows how the form will appear in the final PDF
  • Allows you to verify photo placement and layout
  • Check for any adjustments needed before generating the PDF


Step 22: Generate PDF Report

Click "generate PDF" to create the completed photo schedule

Details:

  • Creates the final PDF document
  • The photo schedule is now available in your documents folder
  • PDF includes all selected photos with their labels
  • You can download, email, or print the schedule.

Can I choose which photos go into a photo schedule, or does it include everything? You choose the Select Photos step lets you pick specific images for that form, and you can add more from other sections as needed.

What layout options are available for the photo schedule? You can choose Normal or Small photo sizing, Single or Double column layout, and optionally show the labels you gave each photo as descriptions underneath.

Where does the finished PDF go once I generate it? It's saved automatically to the job's Documents folder, where it can be downloaded, emailed, or printed.
